A new enquiry arrives on your website. It lands in an inbox. Somebody reads it, opens Notion, makes a card, pastes in the name and the question, and drags it to the right column. Then somebody else does the same thing with next week's blog post, because the content plan lives in two places.
None of that work is hard. It is just work nobody needs to do.
Where things belong
A website is the right home for the people who contact you. Their record, what they asked, what they agreed to, what you sent them: that is your contact book, and on bernard it keeps itself (Contacts and forms: a record for everyone who says yes).
A team board is the right home for who is doing what this week. Many small teams already run that in Notion, and they are not going to move it.
The mistake is to make one of them pretend to be the other. A website that grows a task board is a worse task board. A task board that holds your contacts loses the consent record and the history. So bernard keeps the people, Notion keeps the plan, and a card carries what the team needs between them.
What lands on the board
If your team uses Sasha, a separate product from Context is Everything that is not part of any bernard plan, Sasha holds the connection to your Notion. bernard tells your Sasha the moment something happens on your site, and Sasha puts the card on the board you chose:
- an enquiry or event sign-up becomes a card in the board's first column, with the name, company, question and a link back to the person;
- every item on your content calendar becomes a card with its title, day, type and state.
Sasha writes only into columns your board already has. It never rearranges your board.
What comes back, and what never does
When your team drags a calendar card to Done or Skipped, the item in bernard is marked the same way within a few minutes. That is the whole return trip.
Other moves stay in Notion. A new date or title typed in Notion does not move your calendar. Nothing on the board ever changes a contact. And deleting a contact in bernard does not delete their card, so your team decides what to tidy.
bernard never holds a key to your Notion. Sasha does, and only for the pages you chose.
Before anything leaves
An enquiry card carries personal data: a name, an email address, a company, a message. So before the first one is sent you are shown that sentence, and the company that receives it, Notion Labs, Inc. in the United States. Nothing moves until you approve it, and only the account owner can switch on the bernard side. One switch stops it. Stopping deletes nothing in Notion.
Without Sasha
You can still send the same enquiry and calendar messages from bernard to Zapier or a similar tool and have it add the card. That route is one way: moving the card does not tell bernard anything.
Questions people ask
- Can website form enquiries go straight onto a Notion board?
- Yes. On a bernard site, each enquiry can become a card on the Notion board your team chooses, with who it is, their company, what they asked and a link back to their record. If your team uses Sasha, Sasha writes the card. Without Sasha, Zapier or a similar tool can do the same job, one way only.
- Can I keep my content calendar in step with Notion?
- Through Sasha, yes. Every item on your bernard content calendar becomes a card. When your team drags a card to Done or Skipped, the calendar item in bernard is marked the same way within a few minutes. Dates and titles changed in Notion do not come back.
- What personal data goes to Notion?
- For an enquiry, the person's name, email address, company and message. A calendar card carries no personal data. Before anything is sent, you are shown that sentence and the company that receives it, Notion Labs, Inc. in the United States, and nothing happens until you approve it.
- Does deleting a contact remove their Notion card?
- No. The card is your team's working copy and stays until you remove it in Notion. Nothing in Notion ever changes a contact in bernard.
