Can I say which of us looks after each contact?
Say three of you share one business. Sam handles the press, Priya handles the shop customers, and you handle partners. Without a note on each person, nobody knows whose job a contact is. Who looks after them is that note.
The prompt
“Make [team member’s email] the person who looks after [a contact’s name or email, or everyone on my list called [list name]] on [my site].”

Each contact can have one member of your account who looks after them. It can also have nobody.
Choose one person
Open a person’s own page from the Contacts tab. Under Who looks after them, pick a member and press Save.
You can also ask Bernard in plain words:
Make priya@example.com the person who looks after Jo Bell.
For one person, Bernard just does it and tells you.
Choose for many people
Ask Bernard to change it for a group. Name the people by email, or name a list:
Make Sam the person who looks after everyone on my Press list.
You can do up to 200 people at once. For more than one person, Bernard first says exactly what it is about to do and how many people it covers. It goes ahead only after you say yes.
See and filter by it
The Contacts page has a Looked after by column. It also has a filter for who looks after them. The filter can show the people nobody looks after, which is the quickest way to find who still needs an owner. Bernard can read the same list when you ask, for example “who has nobody looking after them?”.
When a team member leaves
Only an active member of your account can look after contacts. When a member leaves the account, or is deactivated, their contacts become unassigned. Nobody looks after them, and the contacts keep everything else they had.
Nothing is sent to the contacts themselves. Use the filter for the people nobody looks after to find them and choose someone new.
What it does not do
Choosing who looks after a contact does not email the contact, and it does not change what they agreed to. Where do the people who buy, join or ask end up? covers the book itself, and Can I track where each person is - lead, customer, press? covers the other details you can keep on a person.
Questions people ask
- Can Bernard change who looks after many people at once?
- Yes, up to 200 people in one go, named by email or by list. For more than one person, Bernard first says what it is about to do, for example “make Sam the person who looks after 40 people”, and waits for your approval before it changes anything.
- Who can look after a contact?
- Only an active member of your account. If you name someone who is not a member, or who has been deactivated, Bernard says so and changes nothing.
- Is the person who looks after a contact told, or does the contact see it?
- The contact never sees it and is sent nothing. Choosing who looks after someone does not email anyone.
- What happens when a team member leaves?
- Their contacts become unassigned, so nobody looks after them until you choose someone. Everything else on those contacts stays as it was.
