Get my website enquiries and content plan onto our Notion board

Your team plans its week in Notion. Your website lives in bernard. A new enquiry arrives by email, and somebody copies it onto the board by hand. The content plan sits in two places, and the two drift apart.

The prompt

“Our Sasha puts our website news on our Notion board. Connect [my site] to the address Sasha gave me, [https://...], for form sign-ups and content calendar changes. Tell me exactly what personal data will leave before you switch it on.”

Signed in, Get my prompt fills in your site for you. Otherwise press Copy and fill in the [bracketed] parts. First time? Connect your AI to bernard once: Use your own AI (opens in a new tab).

If your team uses Sasha, you can join them up. Sasha is a separate product from Context is Everything; it is not part of any bernard plan. Sasha already connects to your Notion workspace. bernard tells your Sasha the moment something happens on your site, and Sasha puts the card on the board you chose.

What lands on the board

You pick one Notion board for each kind of thing:

  • Enquiries. Someone fills in the contact or enquiry form on your site. A card appears in the board’s first column with who they are, their company, what they asked, and a link to their record in bernard.
  • Event registrations. Someone signs up for an event on your site. Same card, on the board you chose for events.
  • New contacts. Off unless you ask for it, because most teams find it noisy.
  • Your content calendar. Every item on your calendar becomes a card with its title, day, type and state. Your calendar is in Can I see my posts, blog posts and emails on one calendar and move them about?. The content calendar is part of Nautilus Medium.

Sasha writes only into columns and fields your board already has. It never adds fields to your board.

A form only sends a card when the person gave an email address. A form with no email field never reaches the board.

What comes back from the board

When your team drags a content calendar card to Done or Skipped, the same item in bernard’s calendar is marked done or skipped within a few minutes. That is all that comes back. Moving a card to another day, or renaming it, in Notion does not change bernard.

An item that holds work Bernard is doing for you, such as posts still waiting for your approval, does not change when its card moves. It counts as done when each piece of that work is done, so finish or stop that work in bernard.

Setting it up

  1. Connect Notion to your Sasha, if your team has not already. Sasha’s own guide walks you through it: connect Notion to Sasha.
  2. Ask Sasha to send your website events to Notion. Sasha shows you one sentence: what personal data goes to Notion and which company receives it. Nothing happens until you press Confirm. Sasha then gives you an address for bernard to send to.
  3. In bernard, the account owner connects that address. Ask Bernard to send enquiries, form sign-ups and calendar changes to it. Bernard shows you exactly what will leave bernard and waits for your yes. It then shows a secret, once. Paste it into Sasha straight away, so Sasha can check each message really came from your site. How these connections work is in Tell another tool when a student finishes a lesson, a course or joins my list.
  4. Tell Sasha which board takes which kind of card. From then on, each new enquiry reaches the board on its own, with nobody copying it.

To stop, switch it off in Sasha, or ask Bernard to switch off the connection. Stopping deletes nothing in Notion.

What stays where

  • Your contacts stay in bernard. Notion gets a working copy for your team.
  • bernard never holds a key to your Notion. Sasha does, and only for the pages you chose when you connected it.
  • Deleting a contact or a calendar item in bernard leaves its card in Notion.

The rest of what your team can run from bernard is in Can I run my marketing from Bernard?.

Questions people ask

Do I need Sasha for this?
For the two-way version, yes: your team’s own Sasha, with your Notion workspace connected to it. Sasha holds the Notion connection and writes the cards. bernard never holds a key to your Notion. The private brain every bernard account has does not connect to Notion. Sasha is a separate product from Context is Everything; it is not part of any bernard plan. To find out how to get it, see https://www.context-is-everything.com/sasha/.
What do I have to approve, and who can do it?
Two things, both before anything is sent. In Sasha, you see one sentence saying what personal data goes to Notion (the person’s name, email address, company and message) and that Notion Labs, Inc. in the United States receives it, and nothing happens until you press Confirm. In bernard, only the account owner can save the connection to Sasha, and Bernard shows you its own approval sentence first. A team member who asks is told so.
If I tick a card Done in Notion, does bernard know?
Yes, for your content calendar. Move a calendar card to Done or Skipped and the item in bernard’s calendar is marked the same way within a few minutes. Only Done and Skipped come back. A new date or a new title in Notion does not change bernard.
What if I delete something in bernard?
The Notion card stays. Deleting a contact in bernard does not delete their card, and deleting an item from your calendar does not remove its card either. Tidy those in Notion yourself.
Can anything in Notion change my contacts?
No. Nothing from Notion ever writes a contact in bernard. A card is your team’s working copy; the person’s record lives in bernard.
We do not use Sasha. Can we still get enquiries into Notion?
Yes, one way. bernard can send the same enquiry and calendar messages to Zapier or a similar tool, and that tool can add the Notion card. Moving the card on the board does not tell bernard anything on that route.
